Refund Policy

Equipped Rentals Inc. | Equipment Return & Responsibility Policy
1. Rental Period & Contract Extensions
  • Customer Returns: If you are returning the equipment to our yard, it must be returned by the exact date and time specified in your rental contract.
  • Scheduled Pickups: If Equipped Rentals Inc. is picking up the equipment from your job site, the equipment must be shut down, ready for transport, and fully accessible at the agreed pickup time.
  • Overage Charges: We do not charge flat late fees. However, if equipment is not returned or ready for pickup at the scheduled time, the rental period will automatically extend. The customer agrees to pay the standard applicable daily or weekly rate for all overage time until the equipment is returned or successfully retrieved.
  • Extension Requests: If you know you need to keep the equipment longer, please notify us at least 4 hours before your scheduled return/pickup time so we can secure the inventory for your job.
2. Equipment Condition & Fueling
  • Operating Condition: Equipment must be returned clean and free of heavy debris, concrete splatter, or excessive mud. A cleaning fee of $75.00 will apply if the machine requires professional washdowns.
  • Fuel Policy: Equipment is delivered with a full tank of fuel. It must be returned or ready for pickup with a full tank. A refueling fee of $6.50 per gallon will apply if we have to top it off.
  • Post-Rental Inspection: Our service technicians will perform a comprehensive operational and mechanical inspection within 1 business day of return/pickup to check for hidden damages.
3. Payment Method & Credit Card on File Policy
  • Card on File: While Equipped Rentals Inc. does not charge a security deposit upfront, a valid credit card must be kept on file for all active contracts.

  • Authorized Charges: By signing your rental agreement, you authorize Equipped Rentals Inc. to charge this card for any rental overage rates, refueling costs, cleaning fees, or verified damage assessments.
4. Damages, Loss, and Theft
  • Accidental Damage vs. Negligence: Normal wear and tear is expected. However, the renter is fully responsible for any damage caused by misuse, overloading, neglect, or improper operation.
  • Repair Costs: If an item is returned damaged, your card on file will be charged for the parts and labor costs required to restore the tool to its proper operating condition.
  • Lost or Stolen Equipment: If a tool or piece of equipment is stolen or lost while in your possession, you are responsible for paying Equipped Rentals Inc. the full replacement value of the item.
5. Cancellations & Early Returns
  • Early Returns: You may return equipment early or request an early pickup; however, no refunds or prorated credits are issued for unused time.
  • Cancellations: To avoid a cancellation fee, you must cancel your delivery or pickup order at least 12 hours before the scheduled rental start time.
